EXECUTIVE SECRETARY

Job Responsibilities:
  • Provides administrative support to the Director, including word processing, data management, travel arrangements, scheduling appointments, filing, and receiving and returning phone calls
  • Prioritizes mail and communications for Director, ensuring mails are looked into promptly, and all incoming and outgoing documents and correspondences are complete
  • Prepares materials to be used in Management Meetings, as required, and  drafts the minutes of the meetings
  • Compile, transcribe, and distribute minutes of meetings. Attend meetings in order to record minutes
  • Perform general office duties such as ordering supplies, and maintaining records management systems.
  • Organize external and internal events
Job Requirements:
  • Female, Maximum 28 years old
  • Minimum Diploma Degree (D3) from Secretary Academy
  • Having minimum 3 years experience in similar position
  • Having trustworthy, precise, self motivated, teamwork, hardworking, interpersonal skill, communication skill, fast learner, proactive, and self initiative
  • Having ability in managing time efficiently and mature
  • Proficient with computer literacy, minimum Ms. Word, Ms. Excell, and Ms. Powerpoint
  • Good command of English both written and spoken is a must
  • Willing to work in Pluit (North Jakarta)

CS & Logistics Supervisor reports to the Asia Pacific Operations & Supply Chain Director with the primary functions of managing the supply chain including the FG Procurements; Logistics and Warehouse and Inventory Management for the entity so as to support the organization’s objective of providing superior customer service and satisfaction
Secondly, to successfully lead a dynamic customer service team, providing direction, support and advise pertaining to day to day customer service functions and expectations.

PRIMARY DUTIES

  • FG Procurement & Management
    • Create FG PO & release to Allied Manufacturing Sites
    • Follow up the PO confirmation and also the shipping schedule and related import documents
    • Managing shipment delivery schedule for all products and customers; Follow up the goods arrival and preparing for customs clearance
    • Communicate and monitor the broken on processing the customs clearance until the shipments released from customs and stocked into local warehouses
    • Create Receiving Report in Accpac for all import shipment
  • Logistics Management
    • Manage day to day business and process with company contracted 3rd party logistics and external warehousing provider
    • Manage day to day business and process with company contracted freight service providers
    • Manage total logistics cost towards annual targets
    • Manage and co-ordinate cycle count/ stock –take process with external warehouse and establishment of corrective actions if required
    • Maintain Inventory and create Report every end of closing Month and do reconciliation with Actual stock at warehouse.
    • Manage total Indonesia inventory towards the DOH target set by Operations
    • Work with sales teams to reduce slow moving inventory regularly
  • Planning Management
    • Check up demand forecast made by Sales Vs Stock on Hand and Open PO see if any risk on the supply the customers.
    • Work closely with Allied, CS Officer and Sales if case have supply shortage to solve the issue
    • Updated replenishment plan & get back to Demand Planning team for further distribution to Allied manufacturing sites
  • Allied complaint handling
    • Work with Alllied companies on the complaints
  • Reporting, Ops KPI Tracking
    • Maintain and distribute – AP Scorecard Report to Operation
    • Maintain CoA data base from Import shipment
  • Others
    • Perform other duties to be assigned by Immediate Manager

EMPLOYEES SUPERVISED

  • Reporting to this position : CS Officer

Minimum Requirements

  • Minimum 5 years working experiences, preferably with customer service, planning, purchasing,  supply chain and operations management
  • A graduate in business management related
  • Excellent leadership skills
  • Approx 3 years in a related supervisory position
  • Understand financials and total cost of ownership concepts
  • Must possess good analytical and presentation skills
  • Must possess strong organizational skills to plan and organize own and others’ work and meet strict deadlines.
  • Must possess good  interpersonal skills to communicate with team member and deal with conflict effectively
  • Must be good at team work
  • Must possess using ERP system
  • Must possess good skills using MS-Office, especially Excel
  • Fluent in English

PREFERRED QUALIFICATIONS

  • ERP system experience (SAP, ACCPAC)
